How PASS stocktake software works

This is low cost stock taking software that uses PDAs and barcodes to quickly count what you have in stock. You first record the counts on the PDA by scanning the barcodes on the shelves and products and entering quantities. Then you transfer the data to the PC either automatically in wireless mode or using the PDA cradle. You can then run reports showing the value of the stock and the item quantities. If you need to you can then export the data to a variety of file types for incorporating in other packages. The advantage of counting with the PDA is that it is fast. The advantage of using barcodes in stocktaking is that they are very accurate compared with writing product codes manually on a clipboard and then transcribing them to the PC. Counting Stock

The preprinted schedule shows you what you have and where to look. After the count you can run the variance reports and reconcile theoretical with actual stock. The count is fast and accurate scanning barcodes on products and locations. You can carry out full stock counts or partial stock counts. Partial counts are where you count a set of locations or category of stock individually. These are very useful if you want to do a complete stocktake but over several days.

Quantity Variances reporting

The variance reports compares what you count with stock on the system. There are several variance reports showing items or locations you may have missed, also differences between what should be there in a particular location and what stock is actually in the location. This makes recounts very quick and easy.

Low Stock Reorder

Yellow flags mark out low stock items. This coupled with the reorder report enables purchasing staff to reorder stock well in advance.

Stock reconciliation

When all is complete the stock reconciliation program updates the stock records. Notice in the screenshot below that that we have done a partial stock check and many items are not counted. This will show up in two other reports- Items not Checked and Items checked but not on File. This means that the you can do the counting over a number of days and recounts are quick to correct. If it is difficult to get barcodes on the stock locations then all you need do is print the A4 location barcode sheet for those areas. For example a floor area.
